Job Summary

We are seeking an IT PMO Coordinator to support the Head of PMO for IT and the Compliance organization within a leading banking environment. This role will focus on two key areas: New Solutions & New Users (NSU) governance and coordination and supporting AI/innovation initiatives across the Americas and Canada.

The ideal candidate will have experience working in an investment banking, financial services, or FinTech environment, with a strong understanding of IT governance, risk, security, compliance, and application implementation processes. This is a coordination-focused role suited for someone who can effectively work with Project Managers, Risk, IT Security, Compliance, and business stakeholders to keep initiatives moving forward.

 

Key Responsibilities

New Solutions & New Users (NSU) Coordination

Serve as the central coordination point for the New Solutions & New Users (NSU) process, ensuring new technologies, applications, tools, and services are reviewed and approved before implementation within the bank.

Coordinate with Project Managers and supporting functions including IT Security, Risk, Compliance, Legal, and other control teams to facilitate timely review and approval.

Review project files, checklists, and prerequisites to ensure all required information is complete and accurately documented.

Follow up with Project Managers and stakeholders to obtain missing information and resolve questions or outstanding requirements.

Coordinate meetings with Risk, IT Security, Compliance, and Project teams and track actions through completion.

Ensure appropriate information is available regarding data classification, data hosting, data processing, cybersecurity, penetration testing, and application functionality.

Help Project Managers anticipate governance, security, risk, and compliance questions that may arise during the approval process.

Track approvals, dependencies, action items, and open issues to ensure initiatives progress through the required governance process.

Ensure system implementations comply with US regulatory requirements, cybersecurity standards, bank policies, and established procedures.

Support adherence to the System Project Life Cycle (SPLC) and Global GIT project management methodology.

Prepare and maintain required PMO and governance documentation and deliverables.

 

AI & Innovation Support

Support the AI Innovation Manager in coordinating innovation initiatives across the Americas and Canada.

Coordinate implementation activities for AI and Generative AI use cases, working with local end users and Head Office teams.

Assist with planning and coordinating workshops designed to identify business use cases and user pain points where GenAI can provide value.

Coordinate workshop schedules, participant communications, attendance, agendas, and follow-up activities.

Work with business users to facilitate the identification and documentation of potential innovation opportunities.

Support initiatives focused on educating and enabling approximately 1,500 employees on the effective use of GenAI tools and advanced prompting techniques.

Coordinate activities between business stakeholders, innovation teams, technology teams, and other supporting functions.

Participate in innovation watch and FinTech watch activities and help identify relevant emerging technologies and industry trends.

Support local innovation communities and assist with the orchestration of innovation-related activities.

Coordinate innovation projects from initial use-case identification through implementation.

Prepare periodic innovation communications, newsletters, announcements, and event communications.

Assist with the organization of innovation and digitization events, workshops, talks, and other internal initiatives.

 

Required Qualifications

5+ years of professional experience in IT PMO, Project Coordination, IT Governance, Technology Operations, or a related field.

Previous experience within Investment Banking, Banking, Financial Services, or FinTech is required.

Strong understanding of enterprise IT environments and application implementation processes.

Experience coordinating across Project Management, IT Security, Risk, Compliance, Legal, and business teams.

Understanding of IT governance, regulatory requirements, cybersecurity, data classification, and data hosting concepts.

Strong organizational, coordination, communication, and follow-up skills.

Ability to manage multiple initiatives, stakeholders, meetings, action items, and deadlines simultaneously.

Experience preparing project documentation, checklists, status updates, meeting materials, and governance deliverables.

Ability to work effectively with both technical and non-technical stakeholders.

Exposure to AI, GenAI, innovation, FinTech, or digital transformation initiatives is highly desirable.

Strong attention to detail and ability to proactively identify missing information or potential process issues.

Excellent written and verbal communication skills.

 

Preferred Experience

PMO experience within a banking or regulated financial services environment.

Exposure to IT Risk, Information Security, Cybersecurity, Compliance, or Technology Governance.

Experience with application onboarding, technology risk assessments, or new solution approval processes.

Experience supporting AI/GenAI adoption, innovation programs, or digital transformation initiatives.

Familiarity with System Project Life Cycle (SPLC) or similar project governance methodologies.

Experience coordinating workshops, training sessions, internal events, or employee engagement programs.

 

Ideal Candidate

The ideal candidate is a hands-on IT PMO/Project Coordinator with approximately 5+ years of experience who understands how technology initiatives move through a regulated banking environment. They should be comfortable sitting in meetings with Risk, IT Security, Compliance, and Project Managers, identifying outstanding requirements, coordinating follow-ups, and ensuring projects move through the approval process efficiently.

This role does not require a deep AI technical background. The successful candidate should instead be highly organized, proactive, stakeholder-oriented, and comfortable supporting GenAI innovation and adoption initiatives from a coordination and project management perspective.
